This is an exciting time to join the newly formed Angling Scotland Limited and help shape the future for the varied sport of Angling in Scotland. Angling Scotland Limited will bring together the voice, the administration and the memberships of the Scottish Anglers National Association Limited, Scottish Federation for Coarse Angling and Scottish Federation of Sea Anglers from our base in Fife.   These organisations remain responsible for their own discipline specific work, not least around domestic and international competition, events and the administration of such work.

Sound and effective governance, particularly in the areas of effective Administration, are essential to an organisations success as it develops and delivers across a number of priority work streams. Ensuring our central office support services are effective, efficient and implemented in a streamlined manner are critical to providing a professional service to our membership, staff, volunteers and key partners.

The Administrator is a public facing role and most often the first point of contact for members. The role provides essential administrative support particularly in the smooth day to day running of the office, governance administration, general book-keeping and provision of support to the Board of Directors, but also has a responsibility across the organisation, providing central support to our significant coaching network and volunteer workforce.

Job Purpose

  • To provide Angling Scotland Limited with effective and efficient administrative, book-keeping and finance support, with a particular focus on ensuring the smooth day to day running of the office.
  • To develop and support the implementation of effective administrative policies, systems and procedures across the organisation ensuring effective controls and communication.
  • Provide administrative support to the Board of Directors in relation to meetings/committees, governance and corporate planning.
  • Support the delivery of the targets as defined in Angling Scotland Limited’s Strategic and Annual Business Plan.

Responsibilities

General Administration

  • Provide Angling Scotland Limited with general administrative support, including call handling, mail handling, receiving deliveries, meeting and greeting visitors, creating mailings and reports.
  • Provide assistance to the Chairman of the Board, including diary/meeting management, travel and general secretarial support.
  • Coordinate and attend Angling Scotland Limited Board meetings and other relevant sub-committees and working groups, where necessary or appropriate, to provide an administrative and minute taking function.
  • Develop systems and templates for the recording and publication of minutes and reports for board, committees, commissions etc.
  • Support the Chief Operations Officer/Board of Directors to ensure that Angling Scotland Limited policies and procedures are compliant with the requirements of the sportscotland governance audit.
  • Support the Chief Operations Officer/Board of Directors in the collation of the Annual Business Plan and the reporting of information to board, committees and stakeholders.
  • Ensure effective file and documentation management procedures are in place and adhered to.
  • Coordinate effective human resource administration and processes including the recording of annual leave, sickness absence and other leave.
  • Maintain accurate financial records for Angling Scotland Limited and process data through [financial record keeping system] and act as the second signatory on the bank account.
  • Maintain and analyse Azolve GO Membership central databases, to support the issuing of licences and memberships and the collection of associated fees and payments.
  • Liaise with suppliers and administer purchase orders relating to Angling Scotland Limited and Angling Development Board of Scotland ensuring adherence to agreed budget spend.

Communication

  • Support the Chief Operations Officer to ensure the board of directors, staff and stakeholders are made aware of key developments and information.
  • Maintain the website up to date and assist in the preparation of internal and external bulletins, mailings and newsletters as necessary.
  • Coordinate content and update corporate areas of the website including board, staff profiles, policies and minutes of Angling Scotland Limited Board.
  • Assist in the production of annual publications; collating, proofing and finalising information.
  • When required, support the Board of Directors in the coordination, planning and delivery of key events.

Monitoring

  • Support the Chief Operations Officer to provide monitoring reports on the Annual Business Plan and other areas such as risk management, governance audit and HR policies.
  • Assist the Chief Operations Officer and Board of Directors to complete the annual reporting requirements for the sportscotland investment process and any other funding sources.

Other

  • Any other duties as directed by the Chief Operations Officer/Board of Directors.
  • In general, SANA, SFCA and SFSA will be responsible for internal discipline specific finance and administration of their individual organisations and of their competitive teams and events. Exceptionally, the administrator may be asked to offer office based support around major events.
